Customs Compliance Coordinator | Farnborough | Salary: £TBA

Job Overview

To complete billing and invoicing for operations departments and send across to the clients. To run a customs warehouse system and communicate with the clients regarding any discrepancies. To resolve client and supplier queries efficiently and to provide support to operations departments when required.

Responsibilities

  • Creating billing sheets for air and ocean freight files according to client tariffs
  • Monitoring and analysis of SEKO HMRC systems to ensure compliance and improve service levels.
  • Monitoring and analysis of SEKO HMRC Authorizations to ensure compliance and improve service levels.
  • Monitoring and analysis of SEKO customers HMRC systems where required to ensure compliance and improve service levels.
  • Daily upload into Ricardo for clients
  • Invoicing files out to clients as per the billing sheets
  • Checking of invoices and back-up in files
  • Sending of invoices and back-up to clients
  • Daily run through of cost reports to ensure we have been invoiced correctly
  • Obtaining supplier invoices and accruing in jobs
  • Resolving client queries effectively and efficiently
  • Operational Support for all transport modes
  • Data Entry
  • Customs entry compliance
  • Monitoring and reporting KPI’s
  • Resolving internal queries and adapting new processes
  • Completing FSD for Customs Warehouse clients and SEKO
  • Run outstanding report of jobs eft to be billed weekly
  • To complete month end reports for Customs Warehouse clients

Qualifications, Key Skills and Experience

  • Previously experience in air freight imports
  • Good general understanding of logistics
  • Good knowledge of Excel
  • General MS Office application knowledge
  • Attention to detail
  • Intuitive
  • Flexible with working overtime to complete deadlines
  • Able to meet strict deadlines and KPIs
  • Excellent communication skills, both verbal & written.
  • Proven analytical & problem solving skills.
  • Ability to prioritize & multitask; willingness to delegate.
  • Ability to work independently as well as in a team setting.
  • Thorough understanding of global inbound operational procedures

An experienced airfreight operator who will embrace the opportunity to work closely with the pricing team, operations, business development managers and agents to undertake all operational requirements of the import section within the airfreight division.

What you will be doing as Airfreight Import Operator

  • Providing excellent customer service, operational handling & attention to detail when dealing with customers
  • Liaising with internal and external teams to ensure client and company expectations are met
  • Generating import customs entries whilst ensuring compliance with HMRC obligations
  • Ensuring all external temporary storage facility (ETSF) movements are handled in-line with HMRC regulations
  • Assisting with administration tasks within the department, including job costing and invoicing for the import team
  • Ensure all duty/tax payments made via FTS are collected and monitored.
  • Demonstrating excellent communication with customers, agents & suppliers via phone and email
  • Undertaking airfreight import operations, ensuring receipt of bookings, arranging customs clearance, airline liaison and collection & delivery of cargo to final delivery point
  • Organising import bookings with overseas agents
  • Complete credit checks on accounts in-line with company policy
  • Ensure arrival notifications are promptly dealt with and keeping stakeholders updated throughout

  • Strong customer service background, confident personality, with previous experience within Airfreight operations
  • Working knowledge of Import customs clearance within airfreight.
  • Time management and communication skills
  • The ability to prioritise and to pro-actively deal with situations and use initiative
